you are encouraged to upload program and documentation to bulletin boards. If
you continue to use this program, you must register. To register, complete the
registration form on the last page of this documentation and send it to the
address listed. The registration fee for QESSUMRY 3.0 is $15.00.
BBS Sysops may distribute this program on their systems, subject to the
following conditions:
1 - The program, documentation, and associated files are distributed
as a package.
2 - No modifications are made to the program or documentation.
3 - No fee is charged for distribution.
PROGRAM SUMMARY and HISTORY
QESSUMRY 3.0 is a program to summarize data from bulletin board question-
naires developed for RBBS-PC. The program will ignore questions requiring a
text response, provided individual the questions are named as outlined below.
It will also skip questions for which there have been no responses, as
sometimes occurs when the questionnaire follows different paths depending on
answers to previous questions.
QESSUMRY 3.0 will tally the number of responses for multiple choice and
yes/no questions, and will calculate a response percentage for each choice.
The basic tally and percentage can be output to a ASCII (Text) File, a Printer,
or to a Delimited Data File for use with database programs.
QESSUMRY 3.0 can also create a special text file which integrates the
actual questions from the questionnaire .DEF file with the response summaries,
along with an indication of "correct" answers to questions, if appropriate.
QESSUMRY 3.0 provides the additional ability to incorporate explanations of
"correct" answers to questions, either through keyboard input of from a data
file.
QESSUMRY started as QESTALLY, which was released in February, 1988. Some
users requested improvements to the program to make it more versatile in
output. The delimited data file output was immediately added, but before the
revision was released, I noted a need to integrate the actual questions from
the <filename>.DEF file with the answer summaries. This creates a bulletin
which shows the reader the question, the correct answer, and the summary of
responses. The revision was major enough to warrant renaming the program, and
thus QESSUMRY was born.
NEW FEATURES IN QESSUMRY 3.0
* The program now recycles. Previous versions could only create one output
each time the program was run. 3.0 allows continuous operation until <CR>
is pressed at the initial prompt.
* It is no longer necessary for "correct" answers to be provided to
questions before explanations may be provided. This recognizes the
occasional need to further clarify questions or to indicate the "most
right" answer to an opinion poll.
* If no answer file is present, and one is desired, the user now has the
option to output answers typed on the screen to a file for future use.
(<filename>.ANS file)
* Explanations to questions, typed on the screen, may now be output to a
file for future use. (<filename>.EXP file)
* Individual user's percentages of correct answers, and questions missed by
each user responding to the questionnaire, may now be summarized and
output to a file. (<filename>.URS file)
* The program now determines the number of possible answers to each question
and configures the tally and percentage outputs to the proper number of
answers.
EXAMPLES & FILE EXTENSION SUMMARY
Throughout this documentation, we will refer to several types of files.
Examples of all files, except the .DAT (data) file, are listed in the appen-
dices. We have used an actual questionnaire called TRIVIA.DEF. This question-
naire represents the most complex type, one with "correct" answers and explana-
tions of why those answers are correct.
The following file extensions are used at various times by QESSUMRY 3.0.
All extensions are preceded by the questionnaire filename, which is designated
in the documentation as <filename>. The <filename> may be any 1 - 8 character
name valid with MS-DOS, but must be the same for all questionnaire files.
<filename>.ANS File containing "correct" answers to questions. Optional
file - if it is not available, QESSUMRY will prompt for respon-
ses. [Created by sysop]
<filename>.DAT Data file output by RBBS, containing each respondent's name
and answers to questions. [Created by RBBS - Sysop must supply
the data file name during the creation of <filename>.DEF]
<filename>.DEF Questionnaire definition file. This must be created as
specified in the RBBS-PC 15.1x or 16.1A documentation. [Must be
created by the sysop]
<filename>.DTA File containing total number of responses to each question
and the number of responses to each option for each question.
Data is delimited by commas for use with database programs.
[Created by QESSUMRY]
<filename>.EXP File containing explanations for questions. This may
include explanations of "correct" answers, or definition of
"most right" responses to opinion polls.Optional file. [Created
by sysop following guidelines below, or created by QESSUMRY]
<filename>.SUM File created from the Summarize (Q)uestions & Answers
option of QESSUMRY. Contains the text of questions from the
<filename>.DEF file and the answer summary for each question.
Can also contain a "correct" answer indicator and explanation
for each question. [Created by QESSUMRY]
<filename>.TXT File containing a summary of each question, the number of
responses to each option, and the percentage of respondents
choosing each option. [Created by QESSUMRY]
<filename>.URS File containing each respondent user's name, percentage of
correct answers, and a listing of questions to which the
respondent gave incorrect answers. <filename>.ANS be present
and properly created for this file to be created. [Created by
QESSUMRY]
DEFINING THE QUESTIONS
The RBBS-PC questionnaire is developed according to the directions in the
RBBS-PC documentation. Each questionnaire is named with a filename of up to
eight characters with a mandatory extension of .DEF. Questionnaires which will
be summarized with QESSUMRY 3.0 must follow these guidelines:
1. The data file where the questionnaire responses are recorded MUST
have an extension of .DAT . The Questions & Answers and User
Response Statistics options of QESSUMRY 3.0 require that both the
.DAT and .DEF files have the same file name. If used, the answer
file must also have the same filename.
Therefore, the data file for TRIVIA.DEF (the questionnaire)
would have a data file named TRIVIA.DAT and an optional answer
file named TRIVIA.ANS.
2. Multiple choice and yes/no questions MUST be designated by the
label "QUESTION", followed by a one or two digit question number. It
is preferable, but not necessary, that single-digit question numbers
by preceded by a zero. According to the questionnaire development
criteria for RBBS-PC, labels are indicated by a colon (:).
Therefore, multiple choice question number 2 would be labeled
:QUESTION2 or :QUESTION02
To avoid conflicts, questions requiring text input should have a
label other than "QUESTIONxx". See Examples.
3. QESSUMRY 3.0 will summarize up to 15 multiple-choice or yes/no
questions per questionnaire, each with up to 8 choices. Multiple
choice responses must be in the range A-H. QESSUMRY 3.0 is not case-
sensitive to responses, so both upper and lower case responses are
acceptable. Yes/no questions must have the "yes" response listed
first. (Responses must be Y/N - True/False or T/F responses are not
supported by QESSUMRY.)
4. For all functions of QESSUMRY 3.0 to work properly, the response
line (the one preceded with a "?") should be separate from the
question itself. Although this is not mandatory, if you design
questions using the single question/response line, the (Q)uestion &
Answer facility will not pick up the question.
?Do you own an IBM PC (Y/N)
would be better written as:
*Do you own an IBM PC
?Enter Y or N
Response lines should have the valid responses listed. The last
character should be either the highest response letter or, in the
case of yes/no questions the close-parenthesis is acceptable.
A proper response line for a 5 answer multiple choice would be:
?Enter A, B, C, D or E
Proper response lines for a yes/no question would be:
?Enter Y or N
or
?Enter (Y/N)
See Appendix A for a sample <filename>.DEF file.
RUNNING THE PROGRAM
QESSUMRY 3.0 is a stand-alone executable program. It must exist on the
same drive/subdirectory as the questionnaire data file. If you wish to use the
Questions & Answers option, the <filename>.DEF file for the questionnaire must
also exist on the same drive/subdirectory. Additionally, <filename> in
<filename>.DAT and <filename>.DEF files must be identical.
Variation 1:
To start the program, type QESSUMRY at the DOS prompt. QESSUMRY 3.0 will
display its intro logo and ask for the name of the questionnaire data file.
You may enter either the filename alone, or with the extension of .DAT. If the
filename is entered without an extension, QESSUMRY 3.0 will append .DAT to the
filename.
You will then be asked whether you want the output routed to a Database
file, Text file, Printer or whether you want to Summarize the Questionnaire.
The default is to a text file. See OUTPUT OPTIONS.
Variation 2:
QESSUMRY 3.0 may also be started by placing the output selection and
filename on the command line. The output selection follows the program name
and is indicated by either "-" or "/". The data filename follows the output
selection, and does NOT include an extension.
Valid output selections are: -A, -D, -P, -Q, and -U (/A, /D, /P, /Q, /U).
Example: C:> QESSUMRY -D 300BAUD will output the tally of responses to
300BAUD.DAT to a delimited data file called 300BAUD.DTA.
C:> QESSUMRY /p upload will output the tally of responses to
TRIVIA.DAT to the printer.
NOTE: If you use the command line option, you MUST include both the
output specification and the filename. You cannot omit either, and they must
appear in the correct order. Command line entries are not case-sensitive.
OUTPUT OPTIONS
[A]SCII File
The default output option is to a text file with the name <filename>.TXT.
This will create an ASCII text file on the default drive/subdirectory contain-
ing the number of responses and a percentage breakdown of each response. (In
previous versions, this option was labeled "Text [F]ile", and the output was to
a file with the extension ".FIL". This has been changed to provide more
uniformity with other available questionnaire programs.)
(P)rinter
If you select Printer, QESSUMRY 3.0 will direct its output to your default
printer. This output will be in the same form as the text file output, but
will be formatted to break properly on 11 inch paper.
(D)atabase File
If you select this option, QESSUMRY 3.0 will direct its output to a file
called <filename>.DTA. There will be one text line for each question in the
questionnaire. The file format is:
1) The word "QUESTION" followed by the question number
2) the total number of responses to that question
3-10) the number of responses to each choice A-H. If the question is
a yes/no, "Y" responses will be in field 3 and "N" responses in field
4. Fields are delimited by commas.
NOTE: This output is NOT of itself in any particular database format. It
is merely in the delimited format which can be imported by various database
programs.
(Q)uestions & Answers
In QESSUMRY 2.0, this option was designated as (S)ummarize Questionnaire.
The output of this option is to a text file named <filename>.SUM.
If you select Questions & Answers, QESSUMRY 3.0 will tally the responses,
as it does with the other options. In its basic output form, QESSUMRY 3.0 will
print each question (those defined by the :QUESTION label), followed by a
summary of the responses for that question. You will have the options of
supplying "correct" answers for the questions and/or to provide explanations
for the questions and answers.
Supplying "Correct" Answers
QESSUMRY 3.0 will check for the existence of a file called <filename>.ANS.
This is the answer file for those questionnaires where there is a "correct"
answer for each question. If this file is located on the default drive/sub-
directory, QESSUMRY 3.0 will insert the correct answers into the output file.
The answer file may have correct answers on one line, delimited by commas,
or may have each answer on a separate line. NOTE: It is your responsibility
to ensure that there are the proper number of answers for the number of
questions in the questionnaire. QESSUMRY 3.0 will terminate abnormally if
there are too few answers in the <filename>.ANS file for the number of
questions. Valid entries for the <filename>.ANS file are Y, N, or A-H.
Entries are not case-sensitive. If you use the automatic .ANS file creation
option, explained in the next paragraph, the proper file format will be
created.
If no <filename>.ANS file exists, you will be asked if you wish to provide
"correct" answers to the questions. If the questionnaire is of the general
survey type where there is no "right" answer to the question, press "N". If
you do wish to provide "correct" answers, such as to a knowledge questionnaire,
press "Y". You will then be asked if you wish to have answers written to an
.ANS file. If you respond "Y", QESSUMRY 3.0 will create an .ANS file for the
questionnaire from the answers you input on the screen. QESSUMRY 3.0 will then
display each question in the questionnaire and prompt you for the correct
answer. In this form, only a one character response is accepted, but the
responses are not case-sensitive.
See appendix B for a sample answer file.
Supplying an Explanation to Questions
QESSUMRY 3.0 will check for the existence of an explanation file -
<filename>.EXP. If <filename>.EXP does not exist, you will be asked if you
wish to supply an explanation for the questions.
If <filename>.EXP does not exist, you will be presented with a format for
entering the explanations after the display of each question. Explanations
must not be longer than 10 lines of 72 characters each. NOTE: Lines longer
than 72 characters will be truncated to 72 characters in length. The format
indicates the proper length. To end the explanation entry, press {ENTER} on a
blank line.
To skip an explanation for any individual question, press {ENTER} on the
first line of the explanation entry format.
Format of <filename>.EXP
Explanations may be provided through the use of an explanation file, named
<filename>.EXP. It is critical that the <filename>.EXP file follow the proper
format. The first explanation must start of the first line of the file, and
explanations may be no longer than 10 lines. (Line length may be up to 79
characters, unlike the on-line entry which are limited to 72 characters.)
Explanations are delimited by a percent character (%) in the first
position of a line. The remainder of a limit line may be used for comments.
Questions for which no explanation is desired must still be accounted for
in the file, and the file must end with a percent character (%). NOTE: There
will be the same number of percent characters in the first column as there are
questions. See appendix C for a sample explanation file.
If no <filename>.EXP file exists on the default drive\subdirectory and you
have indicated that you wish to provide explanations, QESSUMRY 3.0 will ask if
you wish to create <filename>.EXP. If you do, QESSUMRY 3.0 will write the
explanation entered on the screen to <filename>.EXP for future use.
See Appendix F for a sample question & answer summary file.
(U)ser Response Statistics
When a questionnaire has "correct" answers, the sysop or users may want to
know how many questions each user answered correctly, and which questions the
user missed. This option creates such a summary, output to a file called
<filename>.URS. For this option to function properly, <filename>.ANS must be
present on the default drive\subdirectory.
See Appendix G for a sample user response file.
Overwriting Output Files
<filename>.TXT, <filename>.DTA, <filename>.SUM, and <filename>.URS files
will be over-written each time their option is selected.

NOTE that there is no percent mark starting the file, but that each
explanation is separated by a percent mark. The name and number of the
question follow questions 2 & 3, showing that the limit line may be used as a
reference line for comments. This is eliminated in question 4 to show that
comments are not required, although the limit character (%) is. Explanations
are no longer than 10 lines each, and do not contain blank lines.
NOTE also that, although no explanation is provided for question 5, its
position is still maintained by a limit mark, and that the file ends with a
limit mark. See Appendix F for the sample summary output file to see what this
produces.
